ONSITE POSITION – NOT A REMOTE OR HYBRID POSITION
Job Summary:
The Membership and Event Coordinator plays an important role in supporting the ProRodeo Hall of Fame’s mission by managing membership programs and coordinating facility rentals and events. This position ensures a high-quality experience for members, guests, and event clients through strong organization, communication, and customer service.
Essential Duties:
· Maintain accurate and up-to-date membership records
· Manage membership renewals, reminders, and follow-up communications
· Prepare and distribute membership materials and benefits, including gift card codes, promotional items, and event tickets (e.g., NFR tickets)
· Support member engagement and ensure a positive membership experience
· Draft and manage event contracts
· Coordinate venue tours, client walkthroughs, and event rehearsals
· Manage event invoicing, collect payments, and assist with deposit tracking and returns
· Maintain accurate event records and rental schedules
· Train and support new staff on event procedures and operations
· Provide ongoing support for recurring events, ensuring consistent setup, breakdown, and client satisfaction
· Open, close, and prepare the facility for recurring and private events, including early morning openings (e.g., 6:30 a.m. start times as required)
· Set up and reset event spaces, including arranging tables, chairs, pavilion layouts, and museum spaces.
· Provide on-site support during events to ensure smooth execution and a positive guest experience
· Assists in the care of livestock seasonally.
Provides administrative and operational support as needed or requested by Supervisor or Director.
· Performs other job-related duties as assigned.
Knowledge/Skills/Abilities:
· High School diploma or equivalent.
· 2 years’ experience with event coordination, membership programs, and/or nonprofit operations preferred.
· Previous experience in a retail setting preferred.
· Strong organization and time management skills with attention to detail.
· Excellent customer service skills and strong interpersonal skills with the ability to communicate with diverse populations.
· Ability to work independently with limited supervision and effectively in a team environment.
· Ability to work in a fast paced setting with competing priorities.
· Computer skills, including working knowledge of Microsoft Office Suite.
· Experience with CRM systems (e.g., Neon One) a plus.
· Ability to work flexible hours, including early mornings, evenings, and weekends. .
Work Environment:
This role works in both a professional office environment and at varied indoor/outdoor event venues. Occasional exposure to outdoor weather conditions (heat, humidity, or cold), loud noise levels, and crowded environments during on-site event execution. Frequently operates standard office equipment (computers, phones, printers).
Physical Demands:
Ability to remain in a stationary position (seated or standing) at a desk for extended periods, as well as on-site for registration or event monitoring. Moves throughout the office and event venues to set up, inspect, or manage events, including navigating varied terrain (indoors, outdoors, ramps, stairs).Frequently lifts, carries, or moves tables, chairs, event materials, boxes, or equipment weighing up to 25–30 pounds, and occasionally up to 50 pounds. Constant use of hands/fingers to operate computers, manage registration technology, and handle small items.

Job Summary:

As a member of the Cog Railway Team, the Lead Parking Lot Attendant supervises the systematic and orderly filling of the parking lots. Ensures parking attendants assist automobile and bus drivers in locating parking spots. Ensures trash pickup and grounds maintenance for parking lot attendants in the depot and train platform areas. Supervises and performs snow-clearing operations.

What you will be doing:
- Ensures parking lot attendants are within uniform standards and are conducting themselves in the appropriate manner,
- Supervises parking lot attendants in filling parking lots according to a pre-planned schedule.
- Answers questions from guests and members of the public regarding train operation, parking, and the locale. Addresses guest issues and complaints and directs guests with complaints to the appropriate department or manager.
- Contact bus drivers upon arrival to direct them through the bus turnaround loop.
- Monitors parking areas for unauthorized vehicles. Takes appropriate action (warning, booting, or towing), or escalates to the parking supervisor.
- Directs guests with mobility issues to appropriate parking areas and assists them in reaching the depot and boarding their assigned trains.
- Supervises and carries out snow removal tasks, including plowing, shoveling, and spreading deicing agents. Takes responsibility to keep the lot and guest areas safe and free of snow and ice.
- Supervises other employees in maintaining the lot, grounds, and buildings, including trash collection, sign maintenance, and minor repairs.
- Supervises upgrade and maintenance projects. Orders supplies, identifies and collects necessary tools and equipment, and safely supervises other employees in carrying out assigned tasks.
- Performs specific yard and grounds clean-up and other projects as directed.
- Work at the entrance to Ruxton Ave. to allow only authorized vehicles up Ruxton Ave.
- Must be dependable and able to work scheduled hours or extra hours as required.
- Must be able to follow directions and implement tasks with little to no supervision.
- Perform other duties as assigned.
